Our Portland, OR office is looking for an Administrative Assistant to join its growing team.  In this role, you will provide administrative support through general clerical duties and facilitation of ongoing office programs.


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES include the following.  Other functions may be assigned.

  • Responsible for filing various documents for one or more departments.
  • Provides coverage for the receptionist.
  • Processes invoices to be mailed and files copies.
  • Composes and types memos, letters, and other routine correspondence.
  • Transcribes written notes on computer, or transcribes from voice recordings or memo form.
  • Reviews correspondence for correct grammar and punctuation.
  • Arranges travel schedule and reservations.
  • Makes copies of correspondence or other printed materials.
  • Consolidates reference information by collecting, organizing, and assembling data for reports, presentations, and/or special projects.
  • Organizes meetings by making arrangements and distributing related materials.
  • Maintains office supplies and monitors inventory.
  • Distributes incoming and inter-office mail.
  • Maintains current proof of auto insurance records for all associates.
  • Performs other duties as necessary.
  • Flexibility to work overtime/weekends, as required.

QUALIFICATIONS  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High school diploma or general education degree (GED); Two year associates degree in related field preferred); and two years related administrative experience; or equivalent combination of education and experience.  
  • Strong working knowledge of Microsoft Office products.
  • Excellent  communication skills (verbal and written)
  • Organized, detailed oriented, and resourceful,
  • Anticipates needs in advance
  • Great customer service skills
  • Self-motivated

Must possess basic math skills.  Ability to perform these basic operations using units of American money and weight measurement, and volume.


Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.
