Job Summary:

Provide comprehensive executive administrative support for the Residential HVAC Strategic Business Unit (SBU), specifically for the Engineering and Product Management functional leaders. This role involves managing team programs, budgets, purchase orders, events, and conferences.

Where is the work:

This position has been designated as a Hybrid. Occasional travel will also be required.

Responsibilities:

  • Utilize Outlook for daily team communication, correspondence, and calendar management.
  • Manage complex and constantly changing VP’s daily calendars by organizing and arranging meetings and schedules, often coordinating across multiple time zones.
  • Arrange and coordinate complex domestic and international travel.
  • Oversee meeting preparation and organization, including invitations, agendas, presentations, meeting minutes, logistics, and food/beverage arrangements.
  • Organize meetings and events efficiently in terms of cost and time.
  • Prepare detailed monthly expense reports and accurately reconcile corporate credit card bills.
  • Manage the Purchase Order process for the functions.
  • Maintain and distribute email distribution lists, organizational charts, plant information, etc., with any employee changes.
  • Utilize Oracle/Coupa to invoice, set up new suppliers, prepare purchase requisitions, purchase orders, receive on purchase orders, and submit for payment.
  • Create and edit documents using Microsoft Office programs.
  • Assist in recognizing employee birthdays, anniversaries, and special achievements.
  • Manage the SharePoint site, including access, updating files, and regular maintenance.
  • Provide necessary support to executive leaders, such as travel arrangements, visa preparation, and IT issue resolution.
  • Consolidate reference information by collecting, organizing, and assembling data for reports, presentations, and special projects.
  • Complete various tasks assigned by leaders and routine tasks from team members.
  • Maintain office supplies and monitor inventory.

Qualifications:

  • Minimum of 5 years of experience as an Administrative Assistant supporting executives.
  • Experience supporting leaders in a global environment.
  • Detail-oriented with strong organizational skills and the ability to manage multiple assignments simultaneously.
  • Effective communication skills, both written and verbal, across all levels of the organization.
  • Proficiency in Outlook, Word, Excel (including pivot tables and V-lookup), and PowerPoint.
  • High level of integrity, confidence, and motivation.
  • Ability to work in a fast-paced environment while adapting to changing deadlines and priorities.
  • Capability to work independently with minimal supervision, prioritize work, and handle simultaneous assignments accurately.
  • Ability to work effectively under pressure with tight timeframes.
  • Proactive, responsive, results-oriented, and resourceful.
  • Flexibility and adaptability, with a willingness to work extended hours when necessary, such as arriving early, adjusting lunch hours, or staying later in the evening depending on various activities and deadlines.
  • Demonstrated track record of interacting with all levels of management, staff, and external contacts in a courteous, professional, and discreet manner.
  • Ability to handle confidential information with discretion and integrity.
  • Strong customer orientation and attention to detail.
