This position will provide executive administrative support to the Regional Integrated Supply Chain Team.  Support will include calendar management, travel arrangements, expense processing, and correspondence on behalf of the VPs and of his/her team as needed. The ideal candidate will provide the highest quality administrative support as a core part of the team, in a confident and professional manner.

This role is primarily onsite in Davidson, NC, with some flexibility in schedule as business needs support. 

Primary Accountabilities:

  • Provide the full spectrum of administrative support to the Vice President and Directors as needed
  • Coordinate travel and meeting arrangements for all team meetings, including advance coordination of logistics with other senior executives participating in the meetings (committee meetings, department/staff meetings).
  • Manage calendar, scheduling appointments and making travel arrangements, including domestic and international travel and accommodations including visa applications.
  • Plan, compose, research, analyze and coordinate special projects and follow-up
  • Prepare detailed expense reports and accurately reconcile corporate credit card bills
  • Maintain office supply inventory; anticipate supply needs and manage supply order/procurement process.
  • Manage departmental budgets and purchasing; prepare and track all purchase orders, serve as point of contact for suppliers as needed.
  • Create and maintain departmental organization charts, distribution lists and other standard tools/resources.
  • Provide leadership and support to group meetings and conferences, such as arranging meetings, logistics, and all necessary materials.
  • Plan, compose, research, analyze and coordinate special projects and follow-up; create presentations and spreadsheets as needed
  • Compose a variety of correspondence often of a highly confidential or sensitive nature.
  • Organize and maintain files, including correspondence, records, etc., following up on pending matters and ensuring retention of reliable data.
  • Maintain customer and employee confidence and protect operations by keeping information confidential.
  • Work closely with other administrative professionals across the company to ensure the team is closely aligned.
  • Other duties as necessary and needed based on the needs of senior leadership team members.

Requirements:

  • Minimum of 5 years of related experience in an executive administrative role in a corporate environment
  • Associates or Bachelors degree in Administrative, Human Resources or Business. 
  • Detail-oriented with exemplary planning and organization skills
  • Ability to effectively communicate, both written and verbal, to all levels of the organization
  • Excellent Outlook, Word, Excel, and PowerPoint skills
  • Must be able to work independently with minimum supervision and guidance, prioritize work and handle simultaneous assignments with success and accuracy
  • Must be able to work effectively and accurately under pressure with tight timeframes
  • Must be flexible and adaptable.

Base Compensation Range is $71,100 - $93,900 annually. This role is eligible for overtime. 

*Disclaimer: This base salary range is based on US national averages. Actual base pay could be a result of seniority, merit, geographic location where the work is performed.
