Job Summary:
The Digital Services Project Administrator plays a key role on the Great Lakes region digital team, collaborating closely with regional and area service leaders as well as local office resource coordinators and account managers. This role works very closely with the regional digital program coordinator backing each other up on day-to-day responsibilities. This position is newly created to support a fast-growing team in the dynamic digital services sector. The main responsibilities initially include managing material orders, licenses, and subscriptions, supporting new contract onboarding, and the ongoing improvement of our digital standard work processes ensuring we deliver maximum value to both our internal and external Digital Services customers.

Where is the work:
From Monday to Thursday, work onsite with your colleagues. On Fridays, choose your work location, balancing what your work requires
What you will do:
Leads the process for ordering, tracking, and ensuring the use of all material needed for the controls service business in the Great Lakes Region
Works closely with estimators, resource coordinators, technicians, and account managers to ensure we get the right material on a timely basis to fulfill quoted service controls work.
Leads the process for onboarding new digital service agreements
Works with local office service project administrators and contract managers on the handoff transition/transmit process to ensure contracts are setup properly
Ensures all digital setup tasks are assigned to team members and works with the Digital Area Service Managers and Resource Coordinators to track through to completion
Orders cloud analytics, licenses, AI control and other such software as a service and licensed materials included as part of a service agreement
Leads the process of converting existing traditional agreements into “Digitally Enabled” services
Works with local Service project administrators, area service managers, technicians and account managers to convert as many traditional agreements to use connectivity and cloud analytics as possible
Works with Digital Field Project Manager and Field IT team to order materials and add connectivity to existing agreement locations
Is a liaison between local field service PAs and Digital Area Service Managers supporting any questions that arise regarding billing on digital services work
Works very closely with the Digital Program Coordinator on a daily basis cross-training in each others’ role and providing seamless backup for each other as needed.
Leads a quarterly process to validate that every measurement and verification contract has a corresponding service agreement
As a subject matter expert for digital contracts, this role supports estimators, account managers, CSRs, ASMs, etc. with common questions about digital agreements and keeps the digital leadership team aligned on weekly estimate validation requests.
Works closely with Digital Program Coordinator and Digital leadership team to plan forecasted work and team member assignments
Supports digital area service managers in the monitoring of digital service contracts and the digital services business; gross margin, schedule compliance, applied time, etc
Supports the regional security and connectivity (FIT) team with maintaining customer opt-out letter database, ownership transfer letters, and tracking of open items to resolution
Supports Energy Engineers in the application process for ENERGYSTAR certifications, utility rebates, awards and other common customer application processes.
Supports Co-ops and Apprentices on various special projects to improve our digital standard work
Creates and documents digital standard work processes and best-known ways
Other duties as assigned that improve the efficiency and effectiveness of the Digital Fulfillment team
What you will bring:
Certificate/degree from college or technical school; or (3) years of experience in project management, resource coordination, and process improvement with HS Diploma/GED.
Experience with Microsoft Office Applications: Word, Excel, Outlook, OneNote, SharePoint, and Windows. Special emphasis on Excel and handling large data sets.
Experience with Trane Applications preferred: Worksight, Workpackage, Field Order Entry, WennSoft, SalesForce/Field Service, Oracle
Exceptional communication skills including the ability to motivate others and proactively update project progress
Strong organizational skills
Ability to facilitate frequent internal and external coordination to fulfill contracts
Be able to follow directions and work well with others
Be motivated and a self-starter with the ability to work independently
Must be organized with the ability to multi-task and prioritize daily interruptions.
Strong attention to detail and the ability to thrive working in a fast paced environment.
Must possess a valid driver’s license for a minimum of 12 months, with no major or frequent traffic violations included, but not limited to: DUI in the previous 5 years; Hit & Run, License Suspension, Reckless/Careless Driving or multiple smaller infractions or preventable collisions in the previous 3 years
Compensation:
Base Pay Range: $45,000-70,000 /yr.
This role is eligible for overtime.
