Job Summary:

Trane in Bellevue, WA is looking for a Part-Time Administrative Assistant to join its growing team.  Schedule can be flexible, working 20 hours per week during business hours.  Our office is open M-F and ideally someone could work 4 hours/5 days a week, or 5 hours/4 days a week.  We are flexible to alternatives as well.    In this role you will provide high-level administrative support by conducting research, handle information requests and performing clerical functions.



Administrative Responsibilities:  

  • Provide support to the HR and Marketing leaders and Leadership team to ensure effective cadence and structure is in place
  • Responsible for managing the complex and constantly changing schedules; organizing and arranging meetings and schedules with stakeholders across multiple time zones
  • Anticipate and resolve problems before they amplify
  • Research, analyze, plan, and execute special projects as directed by the Leadership team (such as the annual Service Awards Celebration and President’s Awards)
  • Leverage the operational excellence toolkit, support the effective operation of our business
  • Create reports & extract data for the HR team using PeopleSoft, Success Factors, and Visier, and analyze and create pivot reports
  • Prepare, review, and reconcile expense reports
  • Compose a variety of correspondence often of a highly confidential or sensitive nature
  • Answer and screen telephone calls and emails
  • Provide back-up to other Assistants and receptionists when/if needed
  • Create executive PowerPoint presentations when/if needed
  • Play a key role in providing occasional support to the HR & Marketing teams with minimal supervision and sizable autonomy for judgment and discretion

Office Management Responsibilities: 

  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
  • Partner with HR to maintain office policies as necessary
  • Manage relationships with vendors ensuring that all items are invoiced and paid on time
  • Responsible for ensuring office financial objectives are met by reviewing monthly expenses for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise 
  • Monitor and maintain office supplies inventory
  • Address employees queries regarding office management issues (e.g. stationery, hardware, processes)
  • Liaise with facility management vendors, including cleaning, catering, and security services
  • Associate’s degree preferred
  • Experience supporting leaders
  • Previous experience supporting a HR and/or Marketing functions is preferred
  • Detail-oriented with strong organizational skills and the ability to manage multiple assignments simultaneously
  • Exceptional teamwork and collaboration is critical in this role; across multi-faceted teams, countries, functions etc.
  • Ability to effectively communicate, both written and verbally, to all levels of the organization
  • Excellent Outlook, Word, Excel (pivot, V-lookup), and PowerPoint skills required.
  • Adobe Suite Experience (InDesign, Photoshop, etc.)
  • Must possess the highest levels of integrity and motivation
  • Ability to professionally handle and safeguard confidential information
  • Ability to work in a fast-paced environment while adapting to changing deadlines and priorities
  • Must be able to work independently with minimal supervision and guidance, prioritize work and handle simultaneous assignments with success and accuracy
  • Must be proactive, responsive, results-oriented and resourceful
  • Must be flexible/adaptable. Willing to work extended hours when necessary to accomplish team or individual goals
  • Demonstrated track record of interacting with all levels of management and staff
  • Strong customer orientation and attention to detail
